Overview

At Anna 99 Type, refunds are handled on a case-by-case basis with the simple goal of fairness to both sides. We prefer to fix things rather than refund, because that usually means you actually get the transcript you needed — but we will refund where a refund is the right outcome.

This Refund Policy works together with our Terms of Service. Please read both to understand the full context of our working relationship.

We will always try to make things right first — through clarification, revision, or partial credit — before moving to a refund. We will never force you to accept work that genuinely doesn't meet what was agreed.

Refund eligibility

The table below shows how we typically handle different situations. Each case is reviewed on its specific facts.

"Pro-rata" means refunded in proportion to the work remaining. For example, if 40% of your file was already transcribed when you cancelled, we would retain the cost of that 40% and refund the remainder of the advance.

When refunds are not available

There are some situations where a refund typically isn't available. These are cases where either the work was completed as agreed, or the issue is outside our control:

  • The delivered transcript matches the scope in the written quote, and any issues have been addressed through revisions
  • You engaged us for a specific output (e.g. clean verbatim) and now want a different output (e.g. full verbatim) — this would be re-quoted as additional work, not refunded
  • Reduced accuracy is due to poor audio quality that was not apparent at quote time but is evident once we begin work — in such cases we will typically contact you first to discuss options, which may include a re-quote or partial delivery
  • You supplied the wrong file and we transcribed what you sent us
  • Delays were caused by circumstances beyond our reasonable control (as described in our Terms of Service)
  • The request for a refund is made more than 30 days after delivery

For rush projects where a significantly higher rate was charged for accelerated turnaround, cancellation before delivery may result in reduced refunds because the capacity cannot be re-sold.

Revisions vs refunds

If there's a problem with a delivered transcript, our strong preference is to fix it through revision rather than refund — because that usually means you actually walk away with the transcript you needed.

Start with a revision

Before requesting a refund, please consider a revision. Many issues that might seem serious at first glance can be resolved quickly once we re-listen to the specific sections you've flagged. We typically respond to revision requests within 24 hours during working days.

Move to refund if revision isn't enough

If, after one or more rounds of reasonable revision, the transcript still doesn't meet the scope in your quote, we will discuss a refund — full or partial depending on the extent of the issue.

How to request a refund

To request a refund, please contact us in writing (email is ideal) within 30 days of the delivery date of the transcript concerned. Your request should include:

  • The project name or invoice number
  • The delivery date
  • A clear description of why you are requesting a refund
  • For transcript quality issues — specific examples with timestamps where possible
  • Whether you would first like to try a revision

Email your request to contact@anna99type.site with the subject line "Refund Request — [Project/Invoice Number]".

We will acknowledge receipt within 2 business days and typically respond with our position within 5 business days of receiving all necessary details.

Processing timeline

Where a refund is approved:

  • Refunds are processed back to the original payment method wherever possible
  • We initiate the refund within 7 business days of approval
  • Actual receipt of funds depends on your bank or payment provider — typically 3 to 10 business days for most Indian bank transfers and UPI; international payments may take longer
  • Currency conversion losses (for international payments) are not additionally compensated — the refund is processed in the original payment currency and amount
  • Any bank charges deducted by our payment processor on the original payment may be deducted from the refund, unless the refund is due to our clear fault

Chargebacks & disputes

We handle refund requests directly and fairly. Please reach out to us before initiating a chargeback with your bank or card provider — we almost always reach a reasonable resolution through direct communication, faster than any chargeback process would.

If a chargeback is initiated without first attempting to resolve the issue with us, we reserve the right to:

  • Contest the chargeback with full documentation of the work delivered and our attempts to resolve the matter
  • Suspend any further work on active projects until the dispute is resolved
  • Decline future engagements from the same client

If you believe you need to escalate beyond direct resolution, the dispute mechanism described in our Terms of Service (Section 15) applies.
