Anna 99 Type is an independent transcription studio based in Visakhapatnam, Andhra Pradesh, India. We provide transcription services for audio and video recordings, including interviews, meetings, podcasts, academic research, video subtitles, and legal dictation.

Information we collect

We only collect information we actually need to provide our transcription services and operate this website. The categories are:

Information you give us directly

  • Your name, email address, and phone or WhatsApp number when you contact us for a quote or enquiry
  • Project details you share with us — duration, subject matter, deadlines, format preferences
  • The audio or video files you send for transcription
  • Any additional instructions, glossaries, or reference documents you provide
  • Billing and payment details (name, address, payment method) when you engage our services

Information collected automatically

  • Basic website analytics (pages visited, time on page, device type, referring source)
  • IP address and browser information, as collected by standard web server logs
  • Cookies and similar technologies — see Section 07

We do not collect sensitive personal information such as government ID numbers, financial account credentials, health records, or biometric data — unless it is incidentally present within audio you send us for transcription, in which case it is handled under Section 04.

How we use your information

We use the information we collect for these specific purposes:

  • To respond to enquiries and provide written quotes for transcription work
  • To deliver the services you have engaged us for — transcribing your files and returning the finished documents
  • To communicate with you about your project, including clarifications, revisions, and delivery
  • To issue invoices and maintain basic financial records as required by Indian tax law
  • To operate and improve this website through anonymised analytics
  • To comply with legal obligations, respond to lawful requests from authorities, or protect our rights

We do not use your information for automated decision-making, profiling, or any purpose not clearly described above.

Audio & video files

The recordings you send us are the most sensitive material we handle. We treat them with care:

  • Files are stored in access-restricted working folders, not shared cloud drives open to the public
  • Only the transcriptionist working on your file and the reviewer have access to it
  • We do not publish, reuse, train models on, or otherwise exploit your recordings for any purpose other than delivering your transcript
  • We do not retain copies for portfolio, marketing, or sample use without your explicit written consent
  • If you provide a Non-Disclosure Agreement (NDA), we are happy to sign it before you send anything over

After delivery, your original audio and finished transcript are retained for a standard archival period of 30 days, to allow for revisions or file redelivery if requested. After 30 days, we permanently delete the files from our working systems — unless you specifically request longer retention or we are required to retain them to comply with law.

Data retention

We retain different categories of information for different periods, based on the purpose they serve:

  • Audio/video files and transcripts — 30 days after delivery, then deleted
  • Project correspondence (emails, WhatsApp chats) — up to 12 months after project close
  • Invoices and financial records — as required under applicable Indian tax and accounting laws (typically up to 8 years)
  • Website analytics — in aggregated/anonymised form, up to 26 months

If you would like your information deleted earlier than the retention periods above, please contact us (Section 14). We will honour the request where we are not legally required to retain the data.

Sharing with third parties

We keep your information private by default. We only share it with third parties in the specific, limited situations listed below.

Service providers we rely on

  • Email & file delivery — we use standard email providers (e.g., Google Workspace, Microsoft) to communicate with you and deliver finished transcripts
  • Messaging — WhatsApp (operated by Meta) where you choose to contact us via that channel
  • Payment processing — payment processors handle your payment details; we do not store card information on our own systems
  • Web hosting & analytics — the infrastructure that runs this website and anonymous usage analytics

Legal requirements

We may disclose information if required by law, court order, or a valid request from a government or regulatory authority with proper jurisdiction.

What we never do

  • We do not sell your personal information to anyone, ever
  • We do not share your audio, transcripts, or project details with advertisers, brokers, or unrelated businesses
  • We do not use your recordings to train AI models, whether ours or any third party's

This website uses a small number of cookies and similar technologies:

  • Essential cookies that make the site function (session management, security)
  • Analytics cookies that help us understand how visitors use the site (e.g., Google Analytics), in aggregated and anonymised form
  • Advertising cookies (only if we run Google Ads or similar campaigns) that help measure whether our ads lead to useful outcomes

For analytics, we use Google Analytics. Google collects data as described in its own privacy notice. You can opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.

We may run advertisements on third-party platforms such as Google Ads and Meta Ads to let potential clients know about our services. If we do, these platforms may use their own cookies and tracking technologies to measure ad performance.

When you interact with one of our ads:

  • The advertising platform may record that the click happened and whether you took any follow-up action (e.g., sending us a message)
  • Anonymised conversion data is shared back with the advertising platform to help us measure whether our ads are effective
  • We do not send your personal details, audio files, or transcript content to any ad platform

Security

We take reasonable steps to protect the information you share with us, including:

  • Restricting access to your files to the people directly working on your project
  • Using password-protected devices and accounts
  • Connecting via encrypted services (HTTPS for this website, encrypted messaging where available)
  • Deleting files permanently after the retention period

No method of electronic storage or transmission is completely secure. While we work to protect your information using commercially reasonable measures, we cannot guarantee its absolute security. If a security incident affects your data, we will inform you promptly and describe what happened.

Your rights

You have the following rights in relation to your personal information held by us:

  • Access — ask for a copy of the personal information we hold about you
  • Correction — ask us to correct information that is inaccurate or incomplete
  • Deletion — ask us to delete your information where we no longer need it for the original purpose

  • Withdrawal of consent — where our processing is based on your consent, withdraw it at any time

Our services are intended for adults and organisations. We do not knowingly collect personal information from children under 18. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

We are based in India and operate our systems primarily from India. Some of our service providers (email, messaging, analytics) may process data in other countries, including the United States and the European Union.

Where data is transferred outside your country of residence, we rely on the standard protections offered by those service providers (for example, contractual data protection clauses or equivalent safeguards).
